Tarleton Programs for Minors
Tarleton State University annually hosts more than 9,000 participants in varied program activities at various campus locations. Camp programming content varies greatly; therefore, it is the responsibility of each camp sponsor to review activities and logistics for identifiable risks or hazards.
Reporting Child Abuse
A person having cause to believe that a minor’s physical or mental health or welfare has been adversely affected by abuse or neglect by any person must immediately make a report to local law enforcement.
Child Protection Training
Any individual who will have involvement with a program for minors (i.e. employees, program counselors, or program volunteers) is required to successfully complete the Texas A&M University System (System) Child Protection Training approved by the Texas Department of State Health Services.
Any individual who will have involvement with a program for minors (i.e. employees, program counselors, or program volunteers) is required to complete annually a background check which includes the national sex offender and national criminal history databases. Beginning 03/14/2022, all background screenings will be conducted by an outside agency, and we will no longer require the paper format to be submitted through Microsoft Teams. Background screenings will be completed via an email submission through a third party service and monitored through Employee Services. It is imperative that Camp Directors provide an accurate Employee Roster with the correct email for each employee, counselor, or volunteer.
Every program for minors is required to purchase general liability and accident medical coverage through the System Risk Management insurance program or validate insurance requirements provided by third-party programs which is equivalent in limits and coverage required by the third-party agreement.
Program for Minors Application
The application must include the program’s brochure/marketing materials, detailed itinerary, an employee roster and job descriptions, and an insurance application.

Third Party Programs
Must complete Third Party Programs for Minors Agreement and have it signed by both parties.
Certificate of Insurance
Must obtain general liability and accident medical coverage for the event. The Texas A&M University System and Tarleton State University must be listed as “additionally insured.” A Certificate of Insurance (COI) must reflect the following coverage:
- $1,000,000 General Liability
- $25,000 Accident Medical
